Role Overview

We are seeking a highly organized and detail-oriented PMO Analyst / Project Coordinator to support project reporting, scheduling, documentation, governance packs, and day-to-day project administration across multiple initiatives. This role plays a key part in maintaining structure, visibility, and coordination across project workstreams by ensuring timelines, updates, action logs, reports, and governance materials are accurate, current, and well-managed.

The ideal candidate has experience in project support or PMO functions and is comfortable handling reporting routines, meeting coordination, documentation control, status tracking, and follow-up activities. This person should be able to work across teams, keep stakeholders informed, and help ensure project governance processes are followed consistently.

This is a remote USA-based role, suited for someone with strong Excel, reporting, documentation, and coordination skills who can bring discipline and clarity to fast-moving project environments.

Key Responsibilities

Project Reporting & Status Tracking

  • Maintain project reports, dashboards, trackers, and status updates across active initiatives
  • Collect and consolidate updates from project managers, workstream leads, and stakeholders
  • Monitor project status data including milestones, risks, issues, dependencies, actions, and delivery progress
  • Prepare regular reporting packs for leadership, governance forums, and project review meetings
  • Ensure reporting is accurate, timely, and aligned with project governance standards

Milestone, Action Log & Schedule Support

  • Track project milestones, deadlines, deliverables, and action items across workstreams
  • Maintain RAID logs, action logs, decision logs, and project schedule trackers
  • Follow up with owners to ensure updates, actions, and deliverables are captured and progressed
  • Support schedule coordination by helping maintain timelines, calendars, and key reporting dates
  • Identify slippage, missing updates, or coordination gaps and escalate where needed

Documentation & Governance Support

  • Maintain project documentation including plans, meeting notes, governance packs, status reports, trackers, and supporting materials
  • Organize and control documentation to ensure version accuracy, accessibility, and consistency
  • Prepare materials for steering committees, governance meetings, project reviews, and internal check-ins
  • Support governance routines by ensuring reporting templates, review documents, and approval materials are ready on time
  • Help maintain standards for project record-keeping, documentation quality, and administrative accuracy

Meeting Cadence & Coordination

  • Support recurring project meetings, governance forums, and workstream check-ins by preparing agendas, materials, and follow-up notes
  • Capture meeting actions, decisions, and outstanding items, then track them through to closure
  • Coordinate meeting schedules, attendees, and documentation across cross-functional teams
  • Help maintain meeting cadence and ensure governance routines are followed consistently
  • Assist project managers and PMO leads with communication and coordination across stakeholders

Cross-Workstream Coordination

  • Help maintain coordination across workstreams by keeping trackers updated and ensuring shared visibility of progress and blockers
  • Support collaboration between teams by organizing updates, following up on dependencies, and highlighting risks to timelines
  • Assist in ensuring information flows clearly between business, technical, operational, and project stakeholders
  • Provide administrative and reporting support to help project teams stay aligned and organized
  • Contribute to smooth day-to-day project operations through reliable follow-up and structured coordination

Administrative & PMO Support

  • Support general PMO and project administration activities as required across programs and initiatives
  • Maintain templates, reporting structures, governance formats, and standard project documents
  • Assist with onboarding project team members into reporting routines, document repositories, and meeting structures
  • Support audit readiness and project traceability through strong documentation and record maintenance
  • Contribute to continuous improvement of project support processes, reporting methods, and PMO standards

Requirements

  • Bachelor’s degree in Business Administration, Project Management, Operations, Information Systems, or a related field preferred
  • Proven experience in project support, project coordination, PMO administration, project reporting, or delivery support
  • Strong organizational and reporting skills
  • Experience supporting project governance, schedules, status reporting, and documentation management
  • Strong Excel skills and confidence working with trackers, logs, reporting sheets, and structured project data
  • Strong documentation, note-taking, and follow-up discipline
  • Ability to manage multiple priorities, deadlines, and stakeholder inputs in a remote environment
  • Strong written and verbal communication skills
  • High attention to detail and ability to maintain accuracy across project records
  • Ability to work collaboratively with project managers, workstream leads, and stakeholders

Preferred Qualifications

  • Experience working in PMO, transformation, delivery, technology, operations, or consulting environments
  • Familiarity with project management tools such as Microsoft Excel, Microsoft Project, Smartsheet, Jira, Asana, Trello, Monday.com, ClickUp, Confluence, SharePoint, or similar
  • Experience maintaining RAID logs, governance packs, status reports, project plans, and meeting trackers
  • Understanding of project lifecycle stages, governance forums, reporting cycles, and delivery support processes
  • Exposure to Agile, Waterfall, or hybrid project environments
  • Ability to prepare structured summaries and executive-ready reporting materials
  • Experience supporting multiple parallel projects, programs, or workstreams
  • PMO, project coordination, or project management certification is a plus
